Section 1. Purpose. The Westmorelite Foundation, Inc. (the “Foundation”) is a Georgia-based nonprofit organization dedicated to uplifting the people of Westmoreland and other underserved communities across Jamaica. The Foundation is committed to protecting the privacy and security of our donors and the personal information you share with us. We value your trust and recognize that maintaining this trust requires transparency and accountability at all times. This Donor Privacy Policy (this “Policy”) explains what information we collect, how we use it, and the steps we take to protect your privacy.
Section 2. Information Collected.
2.1 Information You Provide. The Foundation collects and maintains personal information that you, our donors and supporters, provide to us when you contact us by mail, phone, or email; make a donation; register for an event; or sign up to receive communications. From time to time, we may collect information in other ways, but only with your express knowledge or consent.
2.2 Types of Information Collected. The Foundation may collect both personal and non-personal information, including i) personal Information: name, address, email address, and phone number; donation history and payment information; records of attendance at events; and communications or preferences you provide directly to us, and ii) non-personal information: limited non-identifying data such as IP address, browser type, or aggregated website usage statistics. This information does not identify individual donors and is used only to improve donor experience.
Section 3. Use of Donor Information. The Foundation uses donor information to (a) process donations and issue receipts; (b) communicate about our work and programs; (c) invite participation in campaigns and events; (d) comply with applicable laws and reporting requirements; and (e) understand donor interests and improve outreach. The Foundation may also use anonymized data for internal analysis.
Section 4. Confidentiality and Protection. All information about financial and non-financial transactions between you and the Foundation is treated as strictly confidential. Access to donor data is limited to authorized board members, officers, staff, and volunteers who require it to perform their duties. The Foundation employs appropriate administrative, technical, and physical safeguards to protect your data. The Foundation does not share, sell, rent, or exchange donor information with any other organization for fundraising, marketing, or commercial purposes. Any third-party service provider (e.g., payment processor or event management vendor) is bound by strict confidentiality and data protection requirements.
Section 5. Communications Preferences. The Foundation may contact donors by mail, email, phone, or text regarding programs, fundraising efforts, and events. Donors may opt out of communications at any time by clicking “unsubscribe” in an email or contacting the Foundation directly. The Foundation will honor communication preferences promptly and in accordance with applicable law.
Section 6. Records Retention and Data Security. The Foundation complies with all applicable IRS, state, and local regulations governing record retention. Donor information is maintained only as long as necessary to fulfill the purposes of this Policy or as required by law. All donor records are securely stored and destroyed in accordance with the Foundation’s Records Retention and Destruction Policy.
Section 7. Access and Correction. Donors may request to review, correct, or update their personal information by contacting the Foundation as described below. Requests that would violate recordkeeping or legal requirements may be declined.
Section 8. Donor Bill of Rights. The Foundation upholds the Donor Bill of Rights, developed by the Association of Fundraising Professionals (AFP), the Association for Healthcare Philanthropy (AHP), the Council for Advancement and Support of Education (CASE), and the Giving Institute. A copy is available upon request or may be accessed through the Foundation’s website.
